Sports team photos: from roster to lab

How to photograph a league or club by team: one roster per team, QR name cards for the players, individual and team photos on one sheet, and a PDF per team for the lab.

A club day is a queue of teams, each with its own colours, its own players and, usually, a team photo to go with every individual. Getting each player’s photos to the right sheet is the part that eats the week after. A roster and a QR name card per player turns it into the same steps for every team.

  1. One roster for the whole club

Export the club’s registration list as a CSV file, with a column for the team. When you import it for the whole project, each player goes to the folder named after their team: Team Blue to the folder called Team Blue. Keep the number column: it settles two players with the same name.

  2. Print the cards, one per player

Make the name cards for the whole club. Each has the player’s name, team and number beside the QR code. They print eight to an A4 sheet, so a team of fifteen is two sheets. Print at actual size.

  3. Shoot the card, then the player

Each player holds their card up, then you take their photos. A player who arrives late just gets their card and their photos at the end of the folder; every card says whose photos follow it. Take the team photo as you normally would.

  4. Sort, cull and place

Read name cards sorts the day into players. Cull flags the dark and soft frames and the bursts. Then place faces: pick the mask for the player cards, and GridSlate puts each face on its target for you to check.

  5. Put the player and the team on one sheet

Lay out the package once in millimeters: the individual in your mask, a second pose beside it, and the team photo in a Group photo slot. The same template prints for every player, with the name and number from the roster as text on the sheet.

  6. Export one PDF per team

Export JPEG, TIFF or a PDF per team, with bleed and crop marks. File names can use {group}/{name}, so each team lands in its own folder and the lab opens one file per team.

The same project holds every team, so a second club day is the same steps with a new roster.
